Expense report

What you spent in a period by category, with the sales tax you can claim back split from the tax that is a cost.

Reports → Expenses shows what was spent in a period. Pick the dates with the Period control; by default it shows the current month. An expense belongs to the period by the date written on it, whatever your time zone.

The four totals

  • Total Expenses is everything that was paid, tax included.
  • Net is what the purchases cost before tax.
  • Recoverable tax is the sales tax you can usually claim back from the government (GST/HST, and QST in Quebec).
  • Non-recoverable tax is tax that stays a cost to you, such as PST.

Net plus both kinds of tax always equals the total.

By category

Each line is one expense category with the number of expenses and the same four figures, and a Total line at the bottom. Expenses saved without a category are grouped under Uncategorized.

If you see Without tax info, some expenses were saved without a tax rate. Their whole amount is counted as net, so the recoverable tax may be lower than what you can actually claim. Open those expenses and set their tax rate if they included tax.

The list of expenses

Below the categories is every expense of the period with its date, number, vendor, title, category, net, GST/HST, QST/PST, total and the employee who recorded it.

Exporting

Export CSV downloads the list of expenses. By category CSV downloads the category table. Both files end with a Total line.

Who sees what

People who can edit expenses see everyone's expenses in this report. Everyone else sees only the expenses they recorded or paid themselves. Pay that was booked as an expense appears only for people who can see payroll.
