Inviting your team

Adding people, what an invitation does, and deactivating someone who leaves.

Everyone who uses DoneWell for your company is a member with a role. Open Settings → Users to see the team.

The team list

Inviting someone

Click Invite and enter their email and role. They receive an email with a link that creates their account (or adds your company to an account they already have). The invitation counts as a seat until it is accepted, revoked or expires (after 7 days); Resend mails a fresh link while it is still valid. An expired invitation stays in the list marked Expired and no longer takes a seat — invite the same address again to send a new one.

If you prefer to set someone up in person, Add user creates the account with a password you give them; they sign in right away and are asked to confirm their email when they can.

Seats and your plan

Your plan includes a number of users. On plans with per-user pricing, extra members are simply billed; on plans with a fixed cap, the invite button explains when the cap is reached and where to upgrade.

On plans priced by team size (for example 1, 2–5, 6–10 and 11–15 people), the Invite window tells you before you send whether one more person moves your team into the next size and what the new price is — and whether the difference is charged now, from your next renewal, or when you subscribe. When the price does not change, nothing extra is shown.

Pay rates and details

A member's page holds their contact details, the crews they belong to, and — if you use payroll — their pay type and rate. Only people with the payroll permission see rates.

Services a member performs (salons)

In a salon & beauty workspace a member's page also has a Services card. By default a member performs every active service; switch on Performs only selected services and tick the ones they do. Next to each service you can set their own duration and price — for example a junior stylist takes 60 minutes where a senior takes 40, at a different price. Leave a box empty to use the catalog's duration and your price list's price. The Effective column shows what applies to them.

When a service has a processing step (such as colour developing), the processing time stays the same for everyone — a member's own duration changes only the part they are hands-on. Set up the steps on the service itself: open it in Catalog and use Processing segments (Work, Processing, Finish). During Processing the member is free to look after another client.

When someone leaves

Deactivate the member. They are signed out within minutes, their seat is freed, and everything they did (visits, hours, notes) stays in place under their name. Reactivate them later if they come back — nothing is lost.

The company owner is the one exception: another administrator cannot change the owner's role, deactivate them or remove them — their role and access can only be changed by the owner. The owner cannot deactivate themselves either, or switch to a role that cannot manage users, because without them nobody could manage the company's subscription.

Each member also has a personal page under Profile for their own password, avatar and notification preferences.
