Wiki pages
Your team's knowledge base — nested pages you read, write, search, create, reorder, move and archive.
All help topics
The wiki keeps your procedures, product sheets and how-tos in one place. Pages nest inside each other, so a top-level page works as a section: Safety can hold Chemical storage, which can hold one page per product.
Reading a page
A page opens ready to read, with the date it was last changed and who changed it. On a wide screen, On this page on the right lists the page's headings — click one to jump to it. Wide tables scroll sideways inside their own box, so a page reads comfortably on a phone.
Writing and editing
- Click Edit at the top of a page to write in it. Click Done when you finish.
- Changes save by themselves about two seconds after you stop typing. The note above the text says Unsaved changes, Saving… or Saved. Save (or Ctrl+S / ⌘S) saves right away.
- The toolbar adds headings, bold and italic text, links, lists, checklists, quotes, code, collapsible sections, dividers and tables. Inside a table the toolbar also adds and removes rows and columns.
- Type / at the start of a line for the same blocks: keep typing to narrow the list (/h2, /table, /check), then press Enter.
- Type @ and a name to mention a teammate.
- To add a picture, click Insert image in the toolbar and choose one or more photos, paste a picture or screenshot straight into the page, or drag an image file onto it. The picture appears once it has uploaded; if it cannot be uploaded, a message says why and nothing is added. JPEG, PNG, WebP and GIF work, as do iPhone photos (HEIC, converted to JPEG on the way), up to 10 MB each. Pictures are only visible to people signed in to your company — a picture's link does not open for anyone else.
If someone else saved the same page while you were editing, your save stops with Page was changed by …. Choose Reload to load their version and make your change again — nothing they wrote is lost. If you try to leave the page with changes that are not saved yet, the app asks before discarding them.
The page tree
The tree on the left lists every page. Click a page to open it; the path above the title shows where it sits. On a phone, tap Pages to open the tree.
Finding a page
- Search the wiki on the Wiki home looks through page titles and the text inside pages. Type a few words and press Enter. Results list the pages that contain every word, pages whose title matches come first, and a short excerpt shows the matching words highlighted. The line above a result shows where the page sits in the tree.
- You can refine a search: put words in quotes to find them as a phrase ("cold water"), put a minus before a word to leave out pages that contain it (paint -spray), or write OR between words to find pages with either one.
- Search matches whole words as you type them, in any language. It does not guess other forms of a word, so invoice does not find invoices. Try the form the page is likely to use.
- With the search box empty, the Wiki home shows Recently updated — the pages edited most recently.
- Find a page above the tree jumps straight to a page by its title. It tolerates typos and part-words, so clenaing still finds Cleaning. On a phone, it is inside Pages.
Archived pages never appear in search results.
Creating pages
- New page creates a page at the top level.
- On a page in the tree, open the ⋯ menu and choose New subpage to create one inside it.
- In the new page window, Location lets you pick where the page goes, and Template gives it a starting layout:
- Blank — an empty page.
- SOP — Purpose, Steps, Safety and a Checklist, for a step-by-step procedure.
- Product card — Product, Use, Dosage & mixing, Safety & storage and Where to buy.
- Checklist — a list of items to tick off.
The new page opens ready for editing. A template's headings show up in On this page once you read it.
Pages nest at most six levels deep. A page at the sixth level has no New subpage option, and the Location list greys it out and says why.
Renaming, reordering and moving
- Rename in the ⋯ menu edits the title right in the tree. Press Enter to save or Esc to cancel. The page's web address does not change, so links you already shared keep working.
- Drag a page by its handle to change its place among the pages next to it. Keyboard: focus the handle, press Space, use the arrow keys, then press Space again to drop.
- Move to… puts a page, with everything inside it, under another page or at the top level. A page cannot move inside itself or inside one of its own subpages. It also cannot move anywhere that would push its subpages past six levels. The move window greys out those places and says why.
Archiving
Archive hides a page together with all of its subpages. Nothing is deleted — pictures included. Before you confirm, the confirmation lists the other pages that link to this page or its subpages: their links stop working until the page is restored. Choose Undo in the confirmation message to bring the pages back exactly where they were.
Archived pages are kept at the bottom of the wiki home under Archived. Open it to see each archived page, where it lived, who archived it and when. Restore brings the page back, with the subpages that were archived with it, to its old place. If the page it lived under is archived too, the restored page goes to the top level.
Page history
History on a page shows two tabs. Versions lists every saved version of the page: pick one to see what changed since, and restore it if you need to. Activity lists who did what to the page — created, edited, renamed, moved, archived, restored, verified, the owner or review schedule changed — newest first.
Who can do what
Everyone with access to the wiki can read it. Creating, editing and archiving pages each need their own permission in the person's role; the buttons a person is not allowed to use do not appear for them. Without permission to edit, a page has no Edit button.
