Visits
What a visit is, who is on it, and what the crew does on site.
All help topics
A visit is one appointment at one address: the crew arrives, does the work, leaves. A job has one visit or many, and the calendar shows visits, not jobs.
Time and crew
Each visit has a date, a start and end time, and a crew. You set the crew when you create the job and can change it per visit — swap a person out for one day without changing the job. One person on each visit is the lead; that is who the client sees as the contact.
An Anytime visit has a date but no time; use it for work that fits wherever the day allows.
On site
Open the visit on a phone from the schedule. Every visit also has a page of its own: in the visit's ⋯ menu, Open visit page opens it. The crew has:
- Start — records the arrival time.
- Notes and photos — before-and-after photos and remarks, kept with the visit.
- Complete — records the finish time and logs the hours for everyone on the crew. Those hours feed timesheets and, if you use it, payroll.
When a visit is completed, a window offers Create Invoice and Go to Job. If the job is billed as one invoice and already has it, you get View invoice instead. On a job billed per visit the invoice is for this visit; on a job billed monthly it is for this visit's month. You can also create the invoice at any time — before, during or after the visit — from the Invoice column on the visit's Info tab.
A visit can be reopened to finish the work on another trip; it goes back to scheduled and the hours already logged stay. Each trip adds its own time: Start and Complete again log the new trip for the crew, and the visit shows the Total — the sum of all trips — with a line per trip. If you complete a reopened visit without starting it (Edit visit → Completed), no hours are added unless you fill in Add time worked (both the start and the end). Once a visit has logged hours, its Actual Start and End can no longer be typed in Edit visit — the dialog shows the Total instead; change or remove hours in the job's Time entries.
A report shared with the client shows the time on site the same way: the total and each trip, without the crew's names.
Reports for the client
A completed visit can be shared with the client as a report — a page with the photos, the notes and what was done. Turn the link on from the visit page and send it; turning it off later makes the link stop working.
Reminders to the client
If text reminders are on, the client gets a message before the visit with the date and time. A client who has opted out of automated messages does not receive one; you can still message them by hand from the inbox.
