Invoices
Issuing an invoice, sending it, and following it to paid.

An invoice is the bill. It is usually built from a job, sent to the client with a payment link, and then either paid online or recorded by hand when the money arrives another way.
Creating an invoice
Create invoice on a job page copies the job's line items, taxes and fees; Invoices → New invoice starts a blank one for the client and property you pick. Set the issue date and the due date; the payment terms from Settings → Invoices fill the due date for you.
Sending
Send delivers the invoice by email or text with a link to a page where the client sees the document — including your client message and terms, as on the PDF — downloads the PDF and — if you have connected Stripe — pays by card. You can also mark an invoice as sent when you handed it over some other way, so the due-date tracking starts. The PDF download on the client's page is a personal link that works for 24 hours — opening the invoice page again gives a fresh one — and a draft or voided invoice offers no PDF there.
To open that page yourself, use Pay via Stripe in the invoice's ⋯ menu — it opens in a new tab. The item is not shown when the invoice does not offer card payment (for example, e-Transfer only); Copy payment link is always there. In the client portal the invoice also lists every payment and refund with its date and amount.
Sending sets the status to Sent. Once the due date passes without payment the invoice shows as Overdue; a partial payment shows Partial.
Getting paid
Money recorded against the invoice — online or with Collect payment — reduces the balance due, and the invoice becomes Paid when it reaches zero. When the list is filtered to invoices awaiting payment, it adds a Balance due column and shows the total still owed across every invoice in the filter. Recording a payment on a draft issues it: the draft takes the payment's date as its issue date. See Payments → Recording payments for the details, including tips and receipts.
Reminders
Automatic reminders can go out before and after the due date to clients who have agreed to email updates. Turn them on and set the timing under Settings → Invoices.
Correcting an invoice
- A draft that was never sent can be deleted.
- A sent invoice you need to cancel is voided — it stays in the record with a zero balance. A voided invoice can no longer be edited — not even the notes the client sees. To write down why it was voided, use the Internal note on the invoice page: only your team sees it, it is never printed on the invoice or shown to the client, and it can be edited in any status. Find voided invoices with the Voided status filter.
- An invoice that will never be paid is marked Bad debt, which keeps it out of your receivables. You pick the write-off date (today by default — it can't be in the future) and can add a reason; the date decides which tax year the loss belongs to, and both show at the top of the invoice. The Bad Debt report lists write-offs by that date for the period you choose, with the tax portion of each loss. The client can still see it and pay it online; a full payment marks it Paid. Restore in the invoice's ⋯ menu returns it to your receivables as Sent (or Overdue, if the due date has passed).
- Money that has to go back is a refund, recorded from the payment, not by editing the invoice.
