Jobs
The job page, visits and crew, and closing a job so it can be invoiced.
All help topics
A job is agreed work. It holds what will be done and for how much, and it carries one or more visits — the actual appointments on the calendar.
Creating a job
Most jobs come from an approved quote (Convert to job on the quote). You can also start one directly from Jobs → New job or from a request. Pick the client and the property, add the line items, then set the schedule:
- One-off — a single visit, or several if the work spans days.
- Recurring — a repeating schedule (every week, every month). DoneWell creates the upcoming visits for you and keeps creating them as time passes.
Assign the crew — the people who will be on site — and mark one of them as lead. The crew is copied onto each visit; you can change it on any single visit without touching the rest.
On the day
Each visit has Start and Complete. Starting records when the crew arrived; completing records when they finished and logs the hours for everyone assigned. Photos and notes taken on site are attached to the visit and can be shared with the client as a report.
The job's status follows its visits: it moves to In progress when the first visit starts and to Requires invoicing when the last one is completed. Adding a visit to a job waiting for its invoice puts it back to work, and deleting a visit that is in progress recalculates the status the same way. Deleting a visit that has not started never moves a status you set yourself back. A job with nothing on the calendar yet shows as Unscheduled.
Closing and invoicing
Create invoice on the job builds the invoice from the job's line items — nothing to retype. A job billed as a single invoice normally gets one: once it exists, the button becomes View invoice. When the existing invoices cover only part of the job, Create another invoice on the job's Invoices card bills what is left: you are asked to confirm, with the existing invoices and the remaining amount in front of you, and the new invoice carries its share of the tax. A job that is already billed in full cannot be billed again — void an invoice first. A job billed per visit asks which visit to invoice and bills that visit's share of the job (one visit out of all its visits); a job billed monthly asks which month and bills that month's completed visits that are not invoiced yet. Picking a visit or month that is already invoiced asks you to confirm first; voiding or deleting that invoice frees the visit again. A job on a payment schedule is invoiced through its installments: each installment invoice carries its share of the job's tax, and the amounts add up exactly to the job total (the last installment takes any leftover cent). The schedule cannot be switched off while an installment invoice is still live — void it first. A canceled job cannot be invoiced. When every invoice is issued, close the job (Done). A closed job is locked so its numbers stay as invoiced; cancel a job instead if the work is not happening. When you complete or cancel a job that still has visits booked from today on, you are asked whether to cancel those visits too (ticked by default): cancelled visits are marked Skipped, come off the crew's calendars and can be reopened later.
If you asked DoneWell to remind you to invoice when the job closes, a reminder appears on the calendar at that moment.
